CORPORATE GENERAL INFORMATION NOTICE REGARDING THE PROCESSING OF PERSONAL DATA
As Techcom Bilişim A.Ş. (“Techcom Bilişim”), within the framework of activities arising from the Law No. 6698 on the Protection of Personal Data (“KVKK”) and related legislation and regulations, we have prepared this information notice to inform you, our Visitors, Online Visitors, Customers, Potential Customers, Supplier Employees, and Supplier Representatives, about the processing, storage, and transfer of your personal data.
What Categories of Personal Data Do We Process and For What Purposes?
Your personal information is processed by Techcom Bilişim A.Ş. in accordance with the principles set out in Article 4.2 of KVKK, namely;
(i) compliance with law and honesty,
(ii) accuracy and updating when necessary,
(iii) processing for specific, explicit, and legitimate purposes,
(iv) being relevant, limited, and proportionate to the purposes for which they are processed,
(v) being retained for the period prescribed by relevant legislation or necessary for the purpose of processing,
within the scope of our business relationships established and ongoing with our partners (an individual may fall into more than one category) for the purposes stated below.
Visitors
Identity information of visitors (e.g., name, surname), physical security information (e.g., camera recordings);
processed for the purposes of creating and monitoring visitor records and ensuring physical security of premises.
Online Visitors
Security information related to transactions of our online visitors (e.g., IP address), marketing information (e.g., purchase history, cookie records), and identity and contact information (e.g., email address) provided by the visitor;
processed for the purposes of legal compliance of activities, information security processes, tracking requests/complaints, conducting communication activities, providing information to authorized persons, institutions, and organizations, and enabling access to our website via the internet.
Customers
Identity and contact information of our individual customers or the authorized persons and/or employees of our corporate customers, customer transaction information (e.g., order details), physical security data, financial information (e.g., balance sheet data), legal transaction information, marketing data (e.g., purchase history);
processed for purposes including legal compliance of activities, conducting finance and accounting operations, managing business activities/audits, conducting logistics activities, post-sales support services for goods/services, sales processes for goods/services, marketing analysis, contract management, providing information to authorized persons/institutions, ensuring physical security, resolving legal disputes, storage and archiving activities, risk management, managing loyalty processes related to company/products/services, and communication activities.
Potential Customers
Identity and contact information of potential individual customers or authorized persons and/or employees of corporate potential customers, customer transaction data, physical security information, marketing data;
processed for managing sales processes of goods/services, contract management, ensuring physical security, and conducting marketing analysis.
Supplier Employees
Identity, contact, and physical security information of supplier employees;
processed for communication activities, managing business operations/audits, ensuring physical security, supply chain management, logistics activities, legal compliance, and occupational health and safety activities.
Supplier Representatives
Identity, contact, physical security information, customer transaction data, financial data, marketing information, and legal transaction data of real or corporate supplier representatives;
processed for business management/audits, procurement processes, finance and accounting operations, contract management, investment processes, physical security, and legal case follow-ups.
How Are Your Personal Data Collected?
The personal data mentioned above are collected physically (e.g., order forms, contracts, visitor forms), electronically (e.g., telecommunications infrastructure, computers, phones), from third parties (e.g., credit reference agencies such as KKB and Findeks), from our website, or through other documents declared by the relevant person, either automatically or manually.
What Is the Legal Basis for Collecting Your Personal Data?
Your personal data are processed by Techcom Bilişim A.Ş. based on the legal grounds specified in Article 5 of KVKK for the purposes explained above, including;
(i) Explicitly provided for in laws,
(ii) Necessary for the establishment or performance of a contract to which the data subject is a party,
(iii) Required for the data controller to fulfill a legal obligation,
(iv) Necessary for the establishment, exercise, or defense of a right,
(v) Necessary for the legitimate interests of the data controller provided that it does not violate the fundamental rights and freedoms of the data subject.
Do We Transfer Your Personal Data to Third Parties?
a) Visitors’ personal data may be shared with law enforcement and judicial authorities when requested due to legal disputes or statutory obligations.
b) Online visitors’ personal data may be shared with judicial authorities and authorized public institutions when required by law or to resolve legal disputes.
c) Customers’ personal data may be shared with authorized public institutions for compliance, legal follow-up, and information provision; with affiliated companies, IT companies, suppliers, cargo companies, insurance companies, banks, and financial consultants to the extent necessary for business operations, risk management, and service delivery. Data may also be shared with legal firms and judicial authorities as evidence in future legal disputes.
d) Potential customers’ personal data may be shared with legal firms and judicial authorities as evidence in potential future legal disputes.
e) Supplier employees’ personal data may be shared with authorized public institutions for legal compliance and communication, and with affiliated companies, IT companies, suppliers, cargo companies, banks, and financial consultants as necessary for service delivery. Legal firms and judicial authorities may also receive these data as evidence in future legal disputes.
f) Supplier representatives’ personal data may be shared with authorized public institutions, affiliated companies, IT companies, suppliers, cargo companies, banks, and financial consultants for legal compliance, business management, and service delivery purposes. Legal firms and judicial authorities may also be given this data as evidence in legal disputes.
Do We Transfer Your Personal Data Abroad?
Techcom Bilişim A.Ş. does not transfer your personal data abroad.
How Can You Exercise Your Rights Regarding Your Personal Data?
You can submit your requests within the scope of Article 11 of KVKK regulating the rights of the relevant persons via the “Data Controller Application Procedure and Principles Communiqué” available at Techcom Bilişim A.Ş.’s website (“https://techcom.com.ng/”) through the “Data Controller Application Form” prepared to facilitate your application.

PURPOSE
The right of every individual to request the protection of their personal data is a sacred right derived from the Constitution. As Techcom Bilişim A.Ş., we consider fulfilling the requirements of this right as one of our most valuable duties. Therefore, we prioritize the lawful processing and protection of your personal data.
This Corporate Personal Data Protection Policy has been prepared as a result of the importance we place on protecting personal data and aims to define the principles and procedures we apply when processing and safeguarding personal data.
SCOPE
This Policy covers all personal data managed by Techcom Bilişim A.Ş., including data obtained fully or partially by automated means or through non-automated means, as part of any data recording system, involving processing operations such as recording, storing, preserving, altering, reorganizing, disclosing, transferring, acquiring, making accessible, classifying, or blocking the use of the data.
The Policy applies to all personal data processed concerning Techcom Bilişim A.Ş.’s shareholders, executives, customers, employees, supplier representatives, employees, and third parties.
Techcom Bilişim A.Ş. may amend the Policy to comply with legislation and decisions of the Personal Data Protection Authority and to enhance the protection of personal data.

GENERAL PRINCIPLES
Techcom Bilişim A.Ş. inspects all workflows requiring new personal data processing for compliance with the following principles during the preparation stage. Workflows that do not comply are not implemented.
While processing personal data, Techcom Bilişim A.Ş.:
Complies with laws and rules of honesty.
Ensures personal data is accurate and updated when necessary.
Ensures that the purpose of processing is specific, clear, and legitimate.
Checks that the processed data is related to the processing purpose, limited, and proportionate.
Retains data only as long as legally required or necessary for processing purposes and destroys data once the purpose ceases.
DUTIES AND RESPONSIBILITIES
A Personal Data Protection Commission has been established within Techcom Bilişim A.Ş. to manage this Policy and related procedures and ensure its enforcement. The Commission consists of the Finance Director, Accounting Director, and Accounting Assistant. Additionally, Techcom Bilişim A.Ş. obtains consultancy support on KVKK compliance when needed. The Commission may invite the KVKK consultant to its meetings when deemed necessary.
The Commission’s duties and responsibilities include:
Holding regular meetings every six months or extraordinary meetings if conditions require (e.g., data breach incidents).
Discussing necessary changes or improvements to the Policy.
Identifying measures to ensure lawful processing and protection of personal data.
Determining steps to raise awareness of KVKK internally and among business partners.
Identifying risks related to personal data processing and protection, and taking necessary administrative and technical measures.
Managing communication with the Personal Data Protection Authority.
Evaluating requests from Data Subjects.
Monitoring periodic destruction processes.
Updating the Data Inventory.
Assigning tasks related to the above issues.
SECURITY MEASURES
Techcom Bilişim A.Ş. takes all necessary technical and administrative measures to:
(i) prevent unlawful processing of personal data,
(ii) prevent unlawful access to personal data,
(iii) ensure preservation of personal data.
Technical Measures:
Network and application security.
Security measures for IT systems procurement, development, and maintenance.
Regular access log monitoring.
Use of up-to-date antivirus software.
Use of firewalls.
Security measures for physical access to personal data environments.
Protection of physical environments against external risks (fire, flood, etc.).
Backup and security of personal data backups.
User account management and authorization control with monitoring.
Administrative Measures:
Disciplinary regulations including data security for employees.
Regular training and awareness programs on data security.
Corporate policies on access, security, use, storage, and destruction.
Data masking when needed.
Confidentiality agreements.
Revoking data access rights of employees who change roles or leave.
Inclusion of data security clauses in contracts.
Defined policies and procedures for personal data security.
Rapid reporting of personal data security issues.
Monitoring of personal data security.
Minimization of personal data processing.
Identification of existing risks and threats.
Protocols for special category personal data security.
Raising awareness among data processing service providers on data security.
RIGHTS OF THE DATA SUBJECT
Data subjects may apply to Techcom Bilişim A.Ş. to request:
To learn whether their personal data are processed.
To request information if their data have been processed.
To learn the purpose of processing and whether data are used accordingly.
To learn the third parties domestically or abroad to whom their data are transferred.
To request correction of incomplete or inaccurate data and notification of third parties.
To request deletion, destruction, or anonymization of data when processing reasons cease and notification of third parties.
To object to results arising from automatic processing.
To claim compensation if harmed by unlawful data processing.
BREACH NOTIFICATIONS
Techcom Bilişim A.Ş. employees report suspected KVKK violations or policy breaches to the Commission. The Commission may convene and create an action plan.
If a breach involves unlawful acquisition of personal data, the Commission notifies the data subject and the Board within 72 hours, as per the Board’s decision dated 24.01.2019.
CHANGES
Policy changes are prepared by the Commission and submitted to the Board of Directors for approval. Updated policies may be sent by email or published on the website.
EFFECTIVE DATE
This version of the Policy was approved by the Board of Directors on 04.04.2022 and entered into force on the same date.

This information notice has been prepared by Techcom Bilişim A.Ş., acting as the data controller, within the scope of Article 10 of the Law No. 6698 on the Protection of Personal Data (“KVKK”) and the Communiqué on the Procedures and Principles to be Followed in Fulfilling the Obligation of Notification, to inform you about the purposes and legal grounds for processing your personal data, the methods of collection, the recipients to whom your data may be transferred, and your rights under KVKK.
We do not have full control over the information you provide in your CV or the details you share on websites that facilitate your contact with us. We recommend that you do not share any personal data or special categories of personal data with our Company that you do not wish us to know.
Which Personal Data Do We Process?
Your name, surname, date and place of birth, gender, marital status, nationality;
Your email address, home address, mobile phone number;
Health-related information if provided in your CV (e.g., disability status);
Education status, certificates and diplomas, expertise, foreign language skills, skills, seminars and courses attended, computer skills, exam results;

Driver’s license information;
Hobbies;
Salary expectations;

Reference information (name, surname, title, workplace, contact details of referees);
Any other information you voluntarily add to your CV that we cannot foresee.
These data are processed in accordance with KVKK.
Your personal data may be stored by Techcom Bilişim A.Ş. for up to 1 year if your job application is not approved, and up to 10 years after you leave the company if approved.

Your personal data listed above are processed for the fulfillment of this Employment Service Agreement related to the employment service we provide, including but not limited to:
Managing your job application process,
Contacting you,
Assessing whether you have the qualifications for the position we offer,
Contacting your references to determine your suitability for the job,
Determining your desired position, salary expectations, availability for other positions, and start date,
Assessing your eligibility to use company vehicles if necessary,
Checking age eligibility for the position offered and complying with regulations regarding the employment of children and young workers,
Helping our HR department easily recall you during interviews,
Communicating with the candidate and preparing personnel files if hired,
Determining if there are any conditions that may interrupt your employment during the contract period and complying with Article 75 of Military Penal Code No. 1632.

Your personal data are processed either automatically (e.g., data automatically sent to our system online) or manually (e.g., notes taken during a phone call), based on your explicit consent and the legal grounds stated in Article 5 of the Law, including:
(i) the necessity for the data controller to fulfill a legal obligation,
(ii) the legitimate interests of the data controller provided that fundamental rights and freedoms are not harmed, and
(iii) the necessity of processing personal data directly related to the establishment or performance of a contract.
